Who we are
This website is operated by VHOFIT LIMITED, a company incorporated in Hong Kong S.A.R. with company number 80468430, whose registered office is at Unit 2904-05, 29/F, Universal Trade Centre, 3 Arbuthnot Road, Hong Kong S.A.R. ("we", "us", "our").
We are the data user under the Hong Kong Personal Data (Privacy) Ordinance (Cap. 486) (the "PDPO"), and the data controller under the UK and EU General Data Protection Regulation where those apply to you.

Personal Information Collection Statement
This section is our collection statement for the purposes of Data Protection Principle 1(3) of the PDPO.
We collect personal data from you directly when you complete the coaching application form on this site, and when you book a call after applying. Supplying that data is voluntary, but we cannot assess or progress your application without it.
We use it to assess your application, to contact you about it, to arrange and hold your consultation call, and to provide coaching if you go on to become a client. We do not sell your personal data, and we do not use it for third-party marketing.
Your data may be transferred to the service providers listed under "Who we share it with" below, who process it on our behalf.
You have the right to ask for a copy of the personal data we hold about you and to have it corrected. Send any such request to vhofitness@gmail.com.
What we collect
When you submit a coaching application, we collect the answers you give us:
- Contact details — your name, email address and Instagram handle, so we can identify you and reply to you.
- Age, gender and country — so we can confirm you are eligible for coaching and account for time zones.
- Your occupation — so we can understand the schedule your training has to fit around.
- Free-text answers about your goals — your fitness goal, how long you have been working toward it, how it currently makes you feel, what success would look like, why you want to work with us, your readiness to invest, and anything else you choose to add. Please share only what you are comfortable sharing.
- Booking details — if you schedule a consultation, Calendly collects the date, time and time zone you choose, and the name and email you confirm to it.
- Basic attribution data — any campaign tags in the link you arrived on, the domain (not the full address) of the site that referred you, the page you landed on, and whether you were on a mobile or desktop device. This tells us which of our content actually reaches people.
We do not ask for your address, payment details, government identification, or any health or medical records through this site. If your free-text answers happen to describe a health condition, that information is given to us voluntarily and is treated with the same care as everything else here.
Why we collect it, and our legal basis
We collect and use this data to assess your application, to contact you about it, to arrange your consultation call, and to deliver coaching to you if you become a client.
Where the UK or EU GDPR applies to you, our legal bases are: your consent and the steps necessary to enter into a contract at your request, for the application and booking data; and our legitimate interest in understanding how people find us, for the aggregate and attribution data described above. You can withdraw consent at any time by emailing us.
Who we share it with
We share your personal data only with the service providers we rely on to run this site and our coaching practice, each of which processes it on our instructions:
- Supabase — hosts the database that stores coaching applications.
- Vercel — hosts this website and serves its pages.
- Calendly — handles consultation call scheduling.
- Google — provides the email account we use to correspond with you.
- Telegram — receives an internal alert when an application arrives. The alert identifies the application so we can act on it promptly.
We do not sell, rent or trade your personal data, and we do not share it with advertisers. We may disclose it where we are required to do so by law.
Where your data is stored
We operate from Hong Kong, and the providers above operate internationally. Your personal data may therefore be stored and processed outside the country you live in, including in the United States and the European Union.
Where the UK or EU GDPR applies to you, transfers outside the UK or EEA are made under the standard contractual clauses or an equivalent safeguard offered by the provider concerned.
How long we keep it
We keep applications from people who do not become clients for two years, so that we can recognise you if you apply again, and then delete them.
We keep client records for as long as you are coached by us and for seven years afterwards, to meet accounting and tax obligations. Aggregate statistics, which contain no personal data, are kept indefinitely.

Cookies and analytics
This site sets no cookies of its own, and we do not use advertising or cross-site tracking cookies. That is why you are not asked to dismiss a cookie banner here.
We count page views and button clicks as anonymous totals — a number per page, per month, with nothing tying a count to a person or a device. We also use Vercel Analytics, which is cookieless and does not track visitors across sites.
Calendly may set its own cookies within its booking widget. That processing is governed by Calendly's own privacy policy.
Security
Applications are stored in a database protected by row-level access rules, and the key used by this website can submit an application but cannot read applications back. The site is served over HTTPS.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we take all reasonably practicable steps to protect your data against unauthorised access, loss or misuse.
Your rights under the PDPO
Under the Personal Data (Privacy) Ordinance you have the right to ask us whether we hold personal data about you, to be given a copy of it, and to have it corrected if it is inaccurate.
Email vhofitness@gmail.com and we will respond within 40 days, as the Ordinance requires. We do not charge a fee for a data access request beyond what is directly related to and necessary for complying with it.
If you are not satisfied with how we have handled your request, you may complain to the Office of the Privacy Commissioner for Personal Data, Hong Kong, at pcpd.org.hk.
If you are in the UK or the EEA
Because we offer coaching to people in the UK and the EEA, the UK GDPR and EU GDPR apply to our handling of your personal data in addition to the PDPO. Where they do, you have these rights:
- Access — to be told whether we hold data about you and to receive a copy of it.
- Rectification — to have inaccurate or incomplete data corrected.
- Erasure — to have your data deleted where we no longer have a good reason to keep it.
- Restriction — to have us pause our use of your data while a dispute about it is resolved.
- Portability — to receive the data you gave us in a machine-readable format, or have it sent to another provider.
- Objection — to object to processing we carry out on the basis of legitimate interests.
- Withdrawal of consent — at any time, without affecting anything we did lawfully before you withdrew it.

You also have the right to complain to your data protection authority — the Information Commissioner's Office at ico.org.uk if you are in the UK, or your national supervisory authority if you are in the EEA. We would appreciate the chance to address your concern first.
Children
This site and our coaching are not intended for anyone under 18, and the application form asks your age for that reason. We do not knowingly collect personal data from children. If you believe a child has given us their data, email us and we will delete it.
Changes to this policy
We may update this policy as our practices change. The date at the top of this page shows when it was last revised, and the current version always applies.
